The Office Vibe Coordinator will be the first person everyone sees when they arrive in our offices. You will be in charge of setting the tone for each employee every day and making guests feel welcomed. You will head any event planning in and out of our offices, such as our Famous Friday Lunches, cooking contests, holiday parties, golf outings and creating new events to foster community within DMi. You will be critical to keeping the office ready to tackle the day by ensuring official essentials (such as fruits, snacks and coffee) are always available and the office is stocked with appropriate supplies (such as pens, paper and some warm “Hellos!”) While fulfilling many of the usual clerical duties, this role requires creativity and problem-solving skills to create a successful office. Your role is instrumental in cultivating our culture, one of hard work, fun and innovation!

  • Warmly greet and welcome guests as soon as they arrive at the office; Accept and screen calls and direct to appropriate contact
  • Participate actively in the planning and execution of company events, such as parties, celebrations and conferences, and coordinate other office staff activities
  • Manage relationships with vendors, service providers and landlord, submitting all approvals
  • Perform other typical receptionist duties such as sorting mail, filing, photocopying, transcribing, stocking office supplies, tidying shared spaces, arranging travel & accommodations and faxing
  • Responsible for ensuring office objectives are met by assisting in planning annual budgeting for the office, by tracking expenditures, analyzing variances and carrying out necessary corrections that may arise
